Who we share it with
- HMRC, to request access to your record and to make and manage your claim.
- Signable, which provides the online signing of your 64-8 and P87 forms.
- GoHighLevel, which we use to send texts and emails and keep a record of our contact with you.
- Our website and hosting providers, who store the website and the details you submit through it.
- Our bank and professional advisers, where needed to pay you or meet our legal duties.
These companies only act on our instructions. We do not sell your information.
Transfers outside the UK
Some of our providers, including GoHighLevel, may store or process information outside the UK. When this happens, we make sure a lawful safeguard is in place, such as UK adequacy regulations or approved contract terms.
Marketing
Our sign-up form has one marketing tick box. It is unticked by default. We will only contact you about new claim types if you ticked it. You can change your mind at any time using the link in any marketing message or by contacting us. Messages about a check or claim you have asked for are not marketing, and we will still send those.
Your results link
We send your results on a private link that is unique to you. The link expires after 90 days. Please don't share it.
Cookies
We use two kinds of cookies.
- Essential cookies. These make the website and sign-up form work and remember your cookie choice. They are always on.
- Advertising cookies. We use the Meta pixel to measure how our Facebook and Instagram adverts perform. It is only switched on if you accept it. It only runs on our website and sign-up pages. It never runs on your results page or signing pages.
You can change your choice at any time using the "Cookie settings" link at the bottom of every page.
How long we keep it
- If you make a claim with us, we keep your records for 6 years after your claim closes. This is so we can meet our tax and accounting duties and deal with any questions.
- If you have a free check and don't go ahead, or you aren't eligible, we delete your details after 12 months.
- We keep your 64-8 authority in place while we act for you, so our staff can speak to HMRC on your behalf. You can ask us to remove it at any time.
- We keep marketing choices until you withdraw consent.
Keeping it safe
We limit access to your information to staff who need it. Our systems use encryption and access controls. Your results and signing pages can only be reached with your private link.
Your rights
You have the right to:
- ask for a copy of the information we hold about you
- ask us to correct anything that's wrong
- ask us to delete your information, where we no longer need to keep it
- object to how we use it, or ask us to restrict its use
- ask for your information in a portable format
- withdraw consent to marketing or advertising cookies at any time
To use any of these rights, email info@reclaimmyppitax.co.uk. We'll reply within one month. It's free.
Complaints
If you're unhappy with how we've used your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
